How does the connection between Lexware Office and Qonto work?

How does the integration work?

With this integration, receipts and invoices for booked transactions from your Qonto account are sent automatically to your Lexware Office account at hourly intervals.

✌️ Good to know: The integration with Lexware Office is completely secure and we do not share any information with our partner without your explicit consent, which you can withdraw at any time by simply disconnecting the integration.

Who can benefit from this integration?

The integration is available from the Basic plan onwards.

Users with the roles Admin, Owner, and Accountant can set up and use this integration.

✌️ Good to know: In case of issues or important updates, only the user who installed the integration from Qonto with Lexware Office will receive email notifications. In case this user will no longer be available, simply disconnect and reconnect with a different user who is available for the administration of the integration.

How do I set up the integration?

Access your invoices and receipts from your Qonto account in Lexware Office in just a few minutes!

  • In Qonto, go to the Integrations > Connect section and click on the Lexware Office (receipts and invoices) car
  • Click on Connect in the top right of the Lexware Office (receipts and invoices) page
  • Set your authentication name
  • Authenticate with your Lexware Office account information
  • Authorize Qonto to synchronize your data with Lexware Office by clicking Accept.
  • (Optional) Import the history of your transaction attachments by selecting the date from which you want to synchronize. Make sure to confirm your selection by clicking on the checkmark ☑️ to the right of the date and only then click on the Confirm button.

    Please note that you can only send attachments for booked transactions dating back a maximum of 90 days.

Your integration is now complete! From now on, receipts and invoices for booked transactions from your Qonto account are automatically sent to your Lexware Office account at hourly intervals.

✌️ Good to know: If you want to disconnect Lexware Office from your Qonto account, it's also very simple! Click on the Connected button in the top right corner and then on Disconnect Lexware Office. Finally, confirm your choice.

How can I reconcile my Qonto accounts with those in Lexware Office?

Please note, that this integration does not send transactions to Lexware Office. To do this, please additionally connect from within your Lexware Office account to Qonto - you can find instructions for this here.

How are my attachments linked to the transactions?

As soon as the corresponding transactions are also made available in your Lexware Office account, matching receipts and invoices are automatically suggested in Lexware Office with high accuracy, thus largely eliminating time-consuming manual searching for your accounting.

✌️ Good to know: In Qonto you can attach up to 5 attachments for each transaction but Lexware is only able to suggest one matching file per transaction.

Troubleshooting

What if my receipt history is not imported?

If transaction attachments from the selected date are not imported, you need to disconnect Lexware Office (receipts and invoices) from your Qonto account and set up the integration again by following the steps below:

  1. Disconnect Lexware Office from your Qonto account by clicking on the Connected button in the top right corner of the Lexware Office (receipts and invoices) page, then on Disconnect and confirm your choice.
  2. Click on Connect again and follow steps 3 to 4 described in the How do I set up the integration? section of this FAQ.
  3. If you set a start date for importing transaction attachments in step 6, confirm your selection by clicking on the checkmark ☑️ to the right of the date and only then click on the "Confirm" button.

What if single invoices or receipts are missing in Lexware Office?

  1. Please check, if the integration is still connected with Lexware Office by going to the Integrations > Connect section and reviewing the status of the Lexware Office (receipts and invoices) card - it must be shown as “connected”. If not, simply re-connect.
  2. Please check in your Qonto account, if the corresponding transaction was settled or if settlement is still pending - Qonto only sends attachments for booked transactions to Lexware Office.
  3. Check on the Lexware status page (German only), if there is currently a technical issue with “REST-API” service. You can subscribe to this page with your email to receive alerts about issues or important system updates automatically.
