How to import my receivable invoices in bulk?

If you want to centralize your client invoices in one place for easier bookkeeping, accounting, and cash flow management, Qonto offers a simple way to upload and store all client invoices and documents. This feature enables you to import client invoices or receivables invoices into Qonto in order to accelerate bookkeeping and facilitate better income tracking.

This is available for all pricing plans.

How can I upload customer invoices in my Qonto app?

Only owners and admins can upload invoices. To do so, please follow the steps below:

  1. Go to the Invoices section
  2. Click on the Upload invoices button at the top right corner
  3. Browse and select the invoices you want to import.

The invoices will be automatically processed and matched with a relevant transaction if one exists. If the automatic processing is unable to find a match, you can also manually match your uploaded invoice to transactions in your Qonto account.

💡 It is available on both the mobile and web app.

On mobile, you will not be able to import invoices; you can only edit and reconcile the imported invoices.

Can I automatically import my invoices from another tool?

Yes, it is possible thanks to Chift, a powerful integration, which enables you to link any billing tool such as Stripe for example to your Qonto account.

This will allow you to import your client list, historical customer invoices from other services, into your Qonto’s app.

How can I set up the automation with Chift?

To import and/or synchronize your customer invoices, please follow the steps below:

  1. Go to Sales > Client invoices
  2. Click on the Activate integrations and tools button 🔌
  3. Press Import clients and client invoices
  4. Browse and select the integration you use, press Connect
  5. Enter your login details for the integration tool to establish the connection.
  6. Select the date range for your invoice import.
  7. Manage imported invoices including automatic matching to transactions (when available) and sending payment reminders.

💡 If you have a Business or Enterprise plan, you can synchronize invoices to Qonto and import them as they are created from connected tools.

How many invoices can I automatically import with Chift?

  • For Business and Enterprise plans, users can import an unlimited number of invoices
  • For all other plans, the limit of automatically imported invoice is 50. Once the number of Invoice is reached, you will be able to upload new invoices from the Qonto app directly.

Which file formats are accepted?

You can import invoices as PDF, PNG, or JPEG files.

Can I get paid through an imported invoice?

Yes, you can get paid through an imported invoice. Once you've uploaded an invoice, you have two options for sending it to your client and collecting payment:

Send the invoice without online payment

To send your imported invoice to a client, simply open it from the Client invoices section, add your client and invoice details, and send it.

👆 For French-based company clients 🇫🇷 who import electronic invoices (only with format Factur-X, UBL, or CII), you have the option to also send them to the Portail Public de Facturation.

Send the invoice with online payment

if you want to make it easier for your client to pay, you can enable online payment methods. After opening your imported invoice and adding the necessary details, select Add online payment methods and choose whether to enable card payment or another option like Apple Pay or PayPal.

Once you send the invoice, it will appear in the Pending tab. When your client completes the payment and the corresponding transaction is made, the system will automatically update the status to Paid and move the invoice to the Completed tab.

Can I upload files other than invoices, like quotes or credit notes?

You may not import quotes, but you can import credit notes, which will be processed and matched with a transaction, if one exists, just like an imported invoice.

Where can I find my uploaded invoices that haven’t been matched with a transaction?

These invoices will appear under the Pending section of the Client Invoices tab. From there, you can manually mark the invoice as paid once a payment has been made, which will move the invoice to the Completed section.
