How do I set up the DATEV Rechnungsdatenservice 1.0 with Qonto?

Through the integration of Qonto with DATEV, you can simplify your accounting while saving time and energy. Our integrations allow you to automatically synchronize transactions, receipts and invoices between Qonto and DATEV, eliminating time-consuming manual tasks.


👉Important note: All DATEV integrations are exclusively available for customers with a German IBAN at Qonto.

What are the benefits of the Rechnungsdatenservice 1.0?

  • Simplified transfer of structured invoice documents (incoming and outgoing invoices) from Qonto to your DATEV-Kanzlei Rechnungswesen or Mittelstands Faktura Rechnungswesen

What requirements must be met for setup?

Requirements on Qonto side

  • All users with the role Account Holder, Administrator or Accountant can set up the DATEV integrations with Qonto. 

  • DATEV Rechnungsdatenservice 1.0 is available for our packages Smart, Premium, Essential, Business and Enterprise. Click here to learn how to change your current plan.

Requirements on DATEV side

  • the MyDATEV client registration including rights assignment and access medium and the order for Rechnungsdatenservice 1.0 have been successfully completed. This is usually done by your tax advisor.
  • DATEV Belege online is available with the corresponding fiscal year (via registration with DATEV)

How do I set up the Invoice Data Service 1.0?

👉Important note: Please complete all necessary steps on the DATEV side first before continuing with the setup in Qonto.

Setup in DATEV

  • the MyDATEV client registration including rights assignment and access medium has been completed and the order for Rechnungsdatenservice 1.0 has been successfully completed. This is usually done by your tax advisor.
  • DATEV Belege online is available with the corresponding fiscal year (via registration with DATEV)

Setup in Qonto - Establish connection in the Qonto App

  • Navigate to Integrations and Perks → DATEV Rechnungsdatenservice 1.0
  • Click on connect with DATEV to access the setup wizard
  • Log in with your DATEV access medium
  • Select the email reminder interval (weekly/monthly)
  • Set the start date for invoice export

A one-time initial import of all document data for invoices from the selected start date will be performed.

Done! 🚀 You have now set up the Invoice Data Service 1.0 with DATEV and Qonto.
 


👉Important note:  This integration does not include automatic document export. Therefore, please don't forget to transfer the documents at your desired interval (weekly/monthly).

 

Usage at Qonto - Transfer Documents

At the selected reminder interval, transfer the documents via

  • select only complete documents in the document overview
  • click on Export transactions
  • documents are grouped monthly and can be viewed under Export processes

 

Help, my document transfer is not working! Troubleshooting

Below you will find information about the most common sources of error.

 

The setup on the DATEV side is not correctly completed. Contact your tax advisor and clarify whether the registration via the myDATEV client registration and booking of Rechnungsdatenservice 1.0 was completed for your company. Complete the registration first and only then establish the connection in your Qonto App.

The access data or access medium are incorrectly configured. Make sure that access data such as advisor number and client number are created analogous to the bookkeeping service and entered accordingly.

Document format, size or document type incorrect. For the best possible transfer, a file size under 500 KB, but maximum 20 MB per document and the file format .pdf is recommended.
Important! Each document can only be transferred once. Corrections are not possible after transfer! 

 

Documents duplicated, incorrect data. Once a document has been transferred to DATEV, it can no longer be changed from Qonto. If you transfer documents twice, e.g. through renaming, simultaneous use of the DATEV Belegbilderservice or similar, this is done at your own risk.

Documents are not transferred, do not arrive in DATEV. For proper transfer, it is absolutely necessary that the document types incoming invoice (Eingangsrechnung) and outgoing invoice (Ausgangsrechnung) are NOT renamed in the DATEV program. 

Documents missing, time period incorrectly selected. Choose the start date carefully. Documents before the start date will not be captured. If you want to change the start date, you must disconnect the integration in the Qonto App and reconnect it.
