How does the integration work?
With this integration, you can import posted transactions from your Qonto account into your Lexware Office account with just a few clicks - securely and efficiently thanks to PSD2.
Additionally, you can automatically sync unpaid sales and purchase invoices as well, so that all documents are already available in Lexware Office before the payment is made.
Additionally, in Lexware Office you can both create and execute individual payments directly, as well as create batch payments via the invoice function and approve them collectively (provided you have the required authorization in Qonto).

Important: This integration works only with Lexware Office (Cloud)—Lexware Financial Office (Desktop) is not supported.
Who can benefit from this integration?
This integration is available starting from the Basic plan.
In Lexware Office, you need the "Financial Accounting" permission and must also have authorization in Qonto for the bank account linked to Lexware (including permission to approve payments).
✌️ Good to know: To create and execute the payments from Lexware Office, the user needs to have permission to create and approve payments for the linked Qonto account or sub-account and should not be subject to any spend limits.
How do I set up the integration?
This integration starts from within your Lexware Office account, but it is setup in just a few minutes!
- In Lexware Office, go to the Finances > Accounts section
- Click on Add account
- Select Bank account > Connect new account and proceed
- Enter Qonto in the search bar, select it from the result list and click on Connect Bank

Enter your login credentials from your Qonto bank account
Important: You need the email and password for this authorization in case you are using other login methods
- Click on Login to Bank > you are directed to Qonto login where you have to authenticate again
- Select the Qonto account you want to link with Lexware office and confirm
- Authorize Qonto to synchronize your data with Lexware Office by clicking Accept.
- You are redirected to Lexware Office and you are able to select the account (IBAN) you want to use with Lexware Office

For each account, you need to specify the account details and select a date from when you want to import transactions
Please note that you can only sync booked transactions dating back a maximum of 90 days.
Your integration is now complete and shown as connected in Lexware Office UI.
From now on, simply click on “Sync transactions” to import the transaction history for one or more connected accounts (select via checkbox). Under PSD2 directive you might be required to authenticate again via SCA from your Qonto mobile app, but the frequency will happen randomly.
✌️ Good to know: If you want to disconnect your Qonto account with Lexware Office, you must do so from within Lexware Office. Be careful to not select “delete account”, as this will remove the transaction history in Lexware, too. If you are not sure how to proceed, check the Lexware help pages or contact Lexware support.
How do I sync unpaid invoices with Lexware Office?
With the Lexware integration, you can automatically sync not only transaction attachments but also unpaid sales and purchase invoices from Qonto to Lexware Office ✨. This way, documents are available in Lexware Office before the payment is made—significantly reducing manual work for accounting.
You decide which invoice types should be synced: sales invoices, purchase invoices, or both—each can be enabled independently. You can choose this setting when setting up the integration or adjust it anytime in the integration settings.
The feature is available on 💻 web and can be used by all users who have activated the Lexware Office integration.
Which invoices can I sync?
When setting up the Lexware integration—or later in the settings—you define which invoice types should be synced in addition to transaction attachments:
- Unpaid sales invoices: invoices you created and sent that are still outstanding
- Unpaid purchase invoices: supplier invoices that have not yet been paid
You can enable or disable both options independently.
☝️ If you don’t select anything, only transaction attachments will be synced as before.
When are my invoices synced?
The sync timing depends on the invoice type:
Sales invoices: are synced automatically as soon as they receive the status Unpaid in Qonto.
Purchase invoices: are synced as soon as they receive the status To pay in Qonto—this corresponds to the point after the first approval step in the bill approval workflow.
How can I adjust the settings as an existing user?
If you already use the Lexware Office integration, you can enable unpaid invoice syncing later—without disconnecting and reconnecting the integration.
- Go to Integrations and click the Lexware Office card (status: “Connected”).
- Click Settings—a setup flow will open.
- Adjust the options you want:
- Sync start date
- Enable/disable unpaid sales invoices
- Enable/disable unpaid purchase invoices
- Confirm your selection.
⚠️ Changes usually don’t take effect immediately, but apply from the next day or with the next data transfer.
What happens if an invoice that has already been synced gets paid?
As soon as an unpaid invoice in Qonto is matched to a transaction—automatically or manually—an automatic mechanism prevents duplicate transfers. This ensures the same invoice is not sent again to Lexware Office as a separate document.
To ensure this mechanism works reliably, we recommend letting the entire process run through Qonto and avoiding manual actions.
⚠️ Do not manually upload invoices that have already been synced. If an invoice is downloaded, renamed, and uploaded again, it may be recognized as a new document and appear twice in Lexware Office.
How can I reconcile my invoices and receipts in Lexware Office?
Please note, that this integration does not send receipts or invoices from Qonto to Lexware Office. For this, please additionally connect to Lexware Office from your Qonto account.

How are my attachments linked to the transactions?
As soon as both, the transactions and corresponding receipts or invoices are available in your Lexware Office account, Lexware automatically suggests a matching with high accuracy, thus largely eliminating time-consuming manual searching for your accounting.
✌️ Good to know: In case the invoice is already available in Lexware and is not imported from Qonto, the matching might not always be accurate.
How to create single & bulk payments in Lexware Office?
With the linked account, you can now create single payments directly from Lexware Office UI using the Create payment CTA.
To create bulk payments, you can only prepare them from an existing invoice in Lexware Office and either pay them at once or select the one you want to pay now. Please make sure to consult Lexware FAQ for further instructions and details about how to setup the payments in Lexware Office.
By approving them in Lexware, you will receive an SCA on your Qonto mobile app to authorize the payments. Provided the authorization is successful, the payments will be processed by Qonto automatically without the need to login to Qonto again.
Troubleshooting
What if my transaction history is not imported or transactions are missing?
- If transactions from the selected date are not imported, you might need to disconnect the PSD2 connection from Lexware Office and reconnect again
- If transactions are older than 90 days they cannot be imported via this method. However, you can upload them with a .csv file. Please check Lexware FAQ how to do this to avoid duplicates
What if I the creation of payment fails?
- Please make sure, that you have the permission to create payments for the linked account in Qonto and that you are not subject to spend limits
- Check, that the Qonto account has sufficient funds to make the transfers and / or is not subject to a debit block (e.g. seizures)
- If you don’t receive the SCA challenge on your Qonto mobile app, make sure you downloaded the latest version of the app
💡 Please note: If the issues cannot be attributed to Qonto (account and user setup issues), please contact Lexware support directly using their established contact methods. Qonto support will not be able to support on issues related to PSD2 as the integration is hosted on Lexware side.
