Simplify your point-of-sale reconciliation and save valuable time with Qonto's PoS Receipts Collection integration. This feature automatically generates a structured PDF receipt for each of your daily PoS payouts, eliminating manual reconciliation work.

The integration works seamlessly with major PoS providers including SumUp, Shopify PoS, Lightspeed, Square, and Zettle. Once connected via our partner Chift, your payout data is automatically synced each night, and Qonto generates a detailed PDF receipt that includes your sales breakdown, fees, VAT on fees, and net payout amount.

This integration is available for customers in France, Germany, Italy, and Spain. Only users with Owner, Admin, or Accountant roles can connect and manage the integration. The PDF receipts are generated in your local language and automatically attached to the corresponding settlement transactions in your Qonto account.

How do I connect my PoS system to Qonto?

Connecting your point-of-sale system to Qonto is quick and requires no technical configuration. The integration supports five major PoS providers: SumUp, Shopify PoS, Lightspeed, Square, and Zettle. You can connect multiple providers if you use more than one system for your business.

To connect your PoS tool:

You can only connect your PoS system from the đź’» web version of Qonto. The connection feature is not available on mobile.

  1. Go to Connect in your Qonto web app (the integrations marketplace)
  2. Search for your PoS provider by name
  3. Click on the connector
  4. Follow the OAuth authorization flow to grant access
  5. Confirm the connection

Once the OAuth connection is established, the integration becomes active immediately with no further configuration required. Chift will automatically sync your payout data to Qonto every night around 6:00 AM.

Upon first connection, Qonto imports up to 90 days of historical payout data retroactively. PDF receipts will be generated and attached to the corresponding past transactions, giving you immediate access to recent payout documentation. Only users with Owner, Admin, or Accountant roles have permission to connect PoS integrations.

What information does the PDF receipt contain?

Each PDF receipt provides a complete breakdown of your daily PoS payout for easy reconciliation. The document is structured to include all key financial details you need to match the payout with your sales activity.

The PDF header contains:

  • Qonto branding: Qonto logo and legal identity
  • Your business details: Company name and address
  • Payout information: Account name, payout period, and payout reference

The document body includes a detailed transaction-by-transaction breakdown showing:

  • Date of each payment
  • Payment reference
  • Transaction description (when available from your PoS system)
  • Gross amount
  • Fee charged
  • Fee VAT (when available)
  • Gross amount excluding fees

The PDF footer displays totals for the entire payout period, including total gross amount, total gross amount excluding fees, total fees, and total fee VAT when available. A sourcing mention and legal disclaimer are also included at the bottom of each document.

The PDF is generated in the local language of your Qonto account's market: French for France, German for Germany, Italian for Italy, and Spanish for Spain. The PoS provider is identified by name in the footer, though the provider's logo is not included in this initial version.

When and where can I access my PDF receipts?

Your PDF receipts are generated automatically each day after Chift syncs your payout data with Qonto. The sync process typically occurs around 6:00 AM, meaning PDFs are available the morning after your payout is received.

The PDF is automatically attached to the matching settlement transaction in your Qonto account. To find it, navigate to your transaction history and open the detail view of the corresponding payout transaction. The PDF will be visible as an attached document that you can view, download, or share with your accountant.

If you've just connected the integration, allow until the following business day morning for your first PDFs to appear. The system needs to complete its first overnight sync before generating receipts. Historical PDFs from the 90-day retroactive import may take up to 48 hours to process completely.

⚠️ Important: The PDF is a reconciliation support document only, not an official fiscal or tax document. The data is reproduced exactly as transmitted by your PoS system via Chift, and Qonto does not certify its completeness or accuracy for tax purposes. Italian customers should note that this document is explicitly not a fiscal document under Italian law and should not be used as such.

What should I do if my PDFs are missing or show incorrect data?

If you don't see PDF receipts attached to your payout transactions, start by checking these common causes. First, verify that sufficient time has passed since connecting the integration—Chift syncs data nightly around 6:00 AM, so PDFs may not appear until the next business day after connection. Second, confirm that you have the correct role permissions (Owner, Admin, or Accountant). Third, ensure you're checking the settlement or payout transaction, not individual sales transactions.

If PDFs are still missing after 48 hours, contact Qonto Support for assistance. When reaching out, provide the transaction date and reference to help the team investigate.

In some cases, your PDF may not display fee information. Fees are only included when complete fee data is available at the time of processing. For certain PoS systems, fee data may not be transmitted in the current integration version, though the PDF will still be generated with available information.

If amounts shown on your PDF don't match what you see in your PoS back office, first verify the data directly in your PoS provider's system. The PDF reproduces data exactly as transmitted by your PoS via Chift. If you confirm a discrepancy exists, contact Qonto Support with the transaction date and reference for investigation.

If you disconnect your PoS integration, existing PDFs that have already been attached to transactions remain accessible in your account. Disconnecting only stops future data syncs—historical documents are preserved.

What data does Qonto access from my PoS system?

When you connect the PoS Receipts Collection integration, Qonto receives specific payout and transaction data from your PoS system via our partner Chift. Understanding what data is shared helps you make an informed decision about using this integration.

Qonto receives the following information:

At the payout level:

  • Payout reference, date, and currency
  • Gross payout amount
  • Total fees charged
  • Fee VAT amount
  • Net payout amount

At the payment level (for each transaction in the payout):

  • Payment date
  • Payment reference
  • Transaction description (when available)
  • Gross transaction amount
  • Transaction fee
  • Fee VAT for the transaction

Qonto does not receive individual product-level data, customer names or details, or any sensitive payment information beyond what's needed to generate the reconciliation PDF. Your PoS data is transmitted by Chift, a third-party connector provider, and Qonto uses this data solely to generate and attach payout PDFs to your transactions. By connecting the integration, you authorize Chift to access and transmit this data on your behalf.
