The Supplier List section offers a centralized view of all your suppliers, making it easy to access contact details, track outstanding balances, and review invoice histories.
To access it, go to Invoices > Supplier list in your Qonto web app account. From your mobile app, go to Menu > Supplier list.
You will be able to:
- Search for any supplier on the list, using the search bar at the top
- View the outstanding balance for each supplier
- Add new suppliers manually or automatically from paid invoices
How can I search for invoices by supplier?
You can search for invoices associated with a specific supplier by accessing the Supplier list section within your Qonto app. Here, you can view the complete list of your suppliers. To see the invoices for a particular supplier, click on the three dots next to their name and select View supplier invoices.
This will take you to the Supplier Invoices section, where all invoices—whether unpaid, scheduled, or paid—are organized and filtered by the supplier you have chosen.
How can I see what I owe each supplier?
The outstanding balance you owe to each supplier is displayed next to each supplier's name, in the Supplier list section. This allows you to easily track and manage your payables.
How can I add a supplier in Qonto?
To add a supplier to your Qonto account, you can either let the system automatically add suppliers when you import and pay invoices, or you can add them manually.
For manual addition, navigate to the Supplier List section and click on the Add a New Supplier button located in the top right corner of your screen. Here, you will need to provide essential details about the supplier, such as their name, address, and banking information. This process ensures that all your supplier information is centralized and easily accessible for future transactions.
Note: you can edit the supplier detail.
How to edit supplier details?
To edit supplier details in Qonto, go to the Supplier List section and click on the three dots next to the supplier’s name, then select "✏️ Edit supplier".
In the window that appears, you can change details, legal information (such as setting a default VAT rate), and payment details (currency, IBAN of the Qonto account issuing the payment).
☝️ Note: You cannot edit the custom labels for a supplier directly from the Supplier List section. Instead, these changes can be made during the Transfer flow. Learn how to edit or delete an existing beneficiary here.
How to add a VAT rate to a supplier?
To add a default VAT rate to a supplier, first navigate to the Edit Supplier Details page as previously described. Within the legal information section, select the appropriate VAT rate. Be sure to click on the Save Changes button to apply your updates.
☝️ Note: If you're unsure about which VAT rate to use, it can typically be found on your quotes or invoices.
Once set, the VAT rate will automatically be applied to all future transfers to this supplier, ensuring consistency and accuracy in your financial dealings. However, if needed, you can adjust the VAT rate directly at the transaction level for greater flexibility.
