How to customize customer invoices?

Qonto invoicing tool is available for all plans, in order to help your grow your business by issuing customer invoices.

However, some additional features are available only if you subscribed to Account Receivable add-on.

How can I configure my invoice settings?

You can customize your documents default settings either during your onboarding flow or directly via Invoice Settings.

 

Numbering

  • Review the next invoice number (default is 001) or insert a new one. You can also edit the suggested number pattern (e.g., F-2025-011) to match your existing pattern.
  • Once confirmed, Qonto will automatically generate unique and sequential invoice numbers for future invoices, as required by accounting regulations.

πŸ’‘ While regulations do not mandate starting with 001 at the beginning of a new tax year, it is common practice.

 

Company details

By setting your company details, you can ensure the compliance of your invoice along with the applicable terms & conditions of your sells.

1. Company details

  • Set issuer email address: Specify the email address you want to display on your invoice.
  • Set your transaction type, whether Goods or Services.
  • Set VAT payment condition according to your need: Whether on receipt, on debit, or exonerated.
  • Set a VAT number for your invoices.
  • Insert your Capital Share and RCS number.

2. Terms and conditions (optional)

  • Set the discount conditions regarding the payment.
  • Set late payment penalties for your invoices.
  • Set legal fixed compensation regarding the payment of your invoices.

 

How can I customize my documents?

You can use this step to personalize your invoice style by adding your company logo, colors or additional information.

⚠️ Some advanced settings are only available with Account Receivable add-on.

  • Add your logo: Upload a JPEG or PNG file (maximum size of 5 MB)

  • Change the colors of your invoice: you can customize the brand color and the text color.

  • Add your T&C:

    • via a link, which will appear on your invoices
    • [Available with Account Receivable add-on only] via a pdf attachment.

    πŸ’‘ If you add a link, it will appear on your invoices. If you upload a document, it will be attached to the invoice when you send it via email to your client.

  • [Available with Account Receivable add-on only] Define custom titles for your invoices and quotes for specific activities (for example "fee notes" for lawyers, "work orders" from contractors, "royalty statements" for authors, etc.).

  • [Available with Account Receivable add-on only] Adjust the order and define custom column names (quantity, unit price, VAT rate…)

Note: Customization changes will only apply to future documents and can be modified at any time. Previous invoices will not be updated with new logo or email changes.

 

Invoice and quotes creation

You can further customize your invoices and quotes when you create the individual documents.

  • Reorganize items in your preferred order
  • [Available with Account Receivable add-on only] Organize your items in different sections, with a title and a description, and rearrange their order at your convenience
  • Add custom messages before or after the items table. If you want them to appear on all documents, you easily save them by selecting "Save for future documents"
  • [Available with Account Receivable add-on only] Add an attachment to the invoice/quote. The attachments will be included in the email with your invoice or quote and can be download from the Invoice page at any time.
